The hiring pipeline, step by step

Every hire follows the same journey: find, screen, interview, decide. Here is what happens at each stage.

A hiring pipeline is the series of steps a candidate goes through between “I'm interested” and “I've accepted your offer”. Picture a funnel: many people go in at the top, a few come out at the bottom as hires.

The five stages

    Attract

    You describe the job and share it. People apply, or you go looking for people who fit (that's called sourcing).

  2. 2
    Screen

    You read CVs and answers and decide who is worth a conversation. This is where most people are filtered out — usually 70–90% of them.

    Interview

    One or more conversations: a quick phone call, a skills test, a deeper interview with the team.

  4. 4
    Decide and offer

    You pick your favourite candidate and make an offer: salary, start date, role.

  5. 5
    Hire

    They accept. The job is filled, and you close it so new people stop applying.

How the stages look in Olibr

In Olibr each job has its own pipeline under Applicants. Each candidate carries a status that tells everyone where they are:

Applied
They applied to your job themselves.
Pending
Waiting for your review. Candidates you add to a job yourself start here.
Scheduled
An interview is booked.
Interview Pending
They've been invited to interview but haven't done it yet.
Interviewed
The interview is done; you need to decide.
Hired
Congratulations — they accepted.
Rejected
Not a fit this time. They stay in your database for future roles.
Auto-Rejected
They didn't meet a must-have rule you set on the job (for example a dealbreaker question).
The coloured chips at the top count how many candidates are at each stage. Click one to see just those people.

You can rename stages

Stage names are a starting point. An admin can change them under Settings → General Settings → Custom Fields → Applicant Status.

Tip

Move candidates forward (or out) the same day you decide. A pipeline that's up to date is what lets your whole team trust it.
