Job Description & Responsibilities

About the Role: We are seeking a detail-oriented and experienced Import Documentation Executive to join our growing operations team. The ideal candidate must have a proven track record of working within an import/export company or trading house and possess thorough, end-to-end knowledge of Indian customs procedures, logistics, and global trade documentation.

You will manage the entire lifecycle of our import shipments—from the moment a Purchase Order is raised until the cargo safely arrives at our facility—ensuring 100% regulatory compliance and minimal transit delays.

Key Responsibilities & Duties

  • Documentation Management: Prepare, verify, and systematically organize all essential pre-shipment and post-shipment import documents, including Commercial Invoices, Packing Lists, Bills of Lading (B/L), Airway Bills (AWB), Certificates of Origin, and Insurance Certificates.
  • Customs & Compliance: File and track Bills of Entry. Ensure all documentation strictly complies with Indian Customs regulations, DGFT guidelines, and correct HSN code classifications to prevent penalties or demurrage.
  • Coordination & Liaison: Act as the primary point of contact for Custom House Agents (CHAs), international freight forwarders, shipping lines, and transport vendors to ensure seamless cargo clearance.
  • Bank & Financial Operations: Manage bank-end import compliance, including handling Letters of Credit (LCs), Bank Guarantees, matching supplier swift copies, and preparing documents required for foreign exchange remittances.
  • Tracking & Reporting: Maintain an updated Daily Status Report (DSR) tracking shipment timelines from the origin port to final delivery. Actively resolve any operational bottlenecks or documentation discrepancies.

Required Skills and Qualifications

  • Experience: 1 to 3 years of mandatory, hands-on experience specifically handling Import Documentation (Candidates from general data entry or domestic logistics backgrounds will not be considered).
  • Education: Graduate (Bachelor’s degree in Commerce, Business, International Trade, or Logistics is highly preferred).
  • Trade Knowledge: Deep understanding of INCOTERMS (FOB, CIF, EXW), customs clearance workflows, and marine insurance protocols.
  • Technical Skills: Proficient in MS Excel (for data tracking and MIS) and standard office software. Experience navigating government or customs portals (like ICEGATE/DGFT) is a strong advantage.
  • Communication: Strong verbal and written communication skills in English to coordinate with overseas suppliers and freight partners, alongside fluent Hindi.

Benefits & Schedule

  • Schedule: Day shift (10:00 AM – 6:30 PM) / 6 days a week
  • Immediate Joiners Preferred.

Pay: ₹20,000.00 - ₹55,000.00 per month
