Job Summary

The Export Documentation Specialist manages end-to-end export paperwork, customs filings, and compliance for shipments heading to the United States (USA). You will work closely with internal teams, freight forwarders, customs brokers, and U.S. regulatory bodies to ensure smooth, penalty-free cross-border movements.

Key Responsibilities

• Documentation Preparation: Prepare, verify, and audit core export documents, including Commercial Invoices, Packing Lists, Bills of Lading (B/L), Certificates of Origin, and Shipper’s Letter of Instruction (SLI).
• USA Compliance & Filings: Ensure all shipments comply with U.S. Customs and Border Protection (CBP) regulations, Automated Export System (AES) / ACE filings, and partner government agency requirements (e.g., FDA, USDA where applicable).
• Stakeholder Coordination: Liaise directly with freight forwarders, Custom House Agents (CHAs), ocean/air carriers, and U.S. receiving agents to book and track cargo.
• Sanctioned Party Screening: Verify restricted party and denied person screenings prior to releasing final export paperwork.
• Discrepancy & Issue Resolution: Troubleshoot customs holds, port delays, or documentation mismatches promptly to prevent demurrage or detention charges.
• Record Keeping: Maintain organized, audit-ready digital and physical archives of all export transactions in compliance with company and statutory retention policies.
• Reporting: Generate daily/weekly shipment tracking reports and documentation status updates for internal management and external clients.
