Common Quality Specialist Complaints Interview Questions

  • Q1. How do you prioritize and triage incoming pharmaceutical product complaints?

Answer Guidance: Categorize complaints by risk level: Critical (Class I – immediate hazard to health like contamination or mix-ups), Major (Class II – efficacy/purity impacts like out-of-specification results or defective seals), and Minor (Class III – cosmetic defects like crooked labels). Emphasize that Critical complaints require instant escalation, retention sample checks, and potential health authority notification.

  • Q2. What methodology do you follow to conduct a thorough Root Cause Analysis (RCA)?

Answer Guidance: Explain using the 5 Whys and Fishbone (Ishikawa) diagram to evaluate Man, Machine, Material, Method, Measurement, and Environment (6M). Review batch production records, in-process testing data, analytical certificates of analysis (CoA), and environmental logs to isolate the exact point of failure.

  • Q3. How do you establish effective CAPAs following a validated complaint investigation?

Answer Guidance: Detail that Corrective Action addresses the immediate issue (e.g., quarantine affected stock, re-calibrate equipment), while Preventive Action modifies procedures, updates SOPs, or provides operator re-training to eliminate the root cause permanently. Confirm that CAPA effectiveness must be monitored over subsequent production cycles.
