Job Summary

We are looking for a proactive and detail-oriented Purchase Officer to manage sourcing, procurement, vendor coordination, and purchase activities for the organization. The role will focus on identifying reliable suppliers, negotiating commercial terms, ensuring timely availability of materials, and maintaining accurate procurement records while supporting cost-effective and uninterrupted business operations.

Key Responsibilities

Procurement & Sourcing

Identify and source materials, products, equipment, consumables, and services based on organizational requirements.

Conduct supplier research and identify reliable and cost-effective vendors for required materials.

Obtain and evaluate quotations based on quality, price, delivery timelines, and commercial terms.

Negotiate pricing, payment terms, delivery schedules, and other commercial conditions with suppliers.

Vendor Management

Develop and maintain professional relationships with vendors and suppliers.

Evaluate supplier performance based on quality, cost, delivery, and service standards.

Coordinate with QA and relevant departments for vendor qualification and approval where required.

Identify alternative suppliers to minimize supply risks and ensure business continuity.

Purchase Order & Inventory Coordination

Prepare and process purchase orders based on approved purchase requisitions and requirements.

Monitor inventory levels and coordinate timely replenishment of materials and supplies.

Track pending purchase orders and follow up with suppliers to ensure timely deliveries.

Coordinate with Stores, Warehouse, Finance, and user departments for smooth procurement execution.

Material Quality & Delivery

Coordinate with concerned teams for inspection and verification of received materials.

Report shortages, damages, quality issues, or discrepancies to suppliers and internal stakeholders.

Follow up on delayed, incomplete, or rescheduled deliveries and ensure timely resolution.

Ensure materials are delivered to the correct location and meet specified requirements.

Market Research & Cost Optimization

Conduct market research to monitor pricing, supplier availability, and emerging market trends.

Identify opportunities for cost reduction, alternate sourcing, and improved procurement efficiency.

Maintain updated knowledge of supplier capabilities, product availability, and market conditions.

Support procurement strategies that optimize cost, quality, and delivery performance.

Documentation & Reporting

Maintain accurate records of purchase orders, quotations, invoices, payments, and received materials.

Ensure procurement documentation is complete and properly maintained for audit and reference purposes.

Prepare periodic procurement reports covering purchases, pending orders, supplier performance, and cost trends.

Update procurement data accurately in ERP/SAP or other relevant systems.

Qualification

Bachelors degree in supply chain management, Commerce, Business Administration, Operations, or a related discipline.

MBA/PGDM in Supply Chain, Procurement, Operations, or related field will be an added advantage.

Experience

1+ years of experience in procurement, purchasing, sourcing, or supply chain operations.

Experience in pharmaceutical, chemical, manufacturing, or research-oriented organizations will be preferred.

Experience in sourcing chemicals, laboratory consumables, equipment, or other technical materials will be an added advantage.
