Job Description – Assistant Manager – Human Resources (HR)
Reporting To: Chief Executive Officer (CEO)
Employment Type: Full-Time
About the Role
We are looking for a proactive and energetic HR professional to manage end-to-end Human Resource functions and support the company's growth. Reporting directly to the CEO, the Assistant Manager – HR will be responsible for recruitment, employee lifecycle management, HR operations, statutory compliance, employee engagement, performance management, and implementation of HR policies.
This is a hands-on HR Generalist role requiring strong ownership, excellent interpersonal skills, and the ability to work independently in a fast-growing organization.
Key Responsibilities
- Talent Acquisition
- Manage end-to-end recruitment for all departments.
- Coordinate with department heads to understand manpower requirements.
- Source candidates through job portals, social media, employee referrals, consultants, and other recruitment channels.
- Screen resumes and conduct preliminary interviews.
- Coordinate interview schedules with hiring managers.
- Prepare offer letters and complete joining formalities.
- Maintain recruitment tracker and hiring MIS.
- Employee Onboarding & Offboarding
- Complete joining documentation and induction process.
- Create and maintain employee records.
- Ensure smooth onboarding of new employees.
- Track probation and confirmation timelines.
- Handle employee resignation, exit interviews, full & final settlement coordination, and relieving documentation.
- HR Operations
- Maintain employee database and personnel files (digital and physical).
- Manage attendance, leave records, and HR documentation.
- Coordinate payroll inputs with the Accounts/Payroll team.
- Issue appointment letters, confirmation letters, increment letters, transfer letters, warning letters, and experience certificates.
- Maintain HR records with complete accuracy and confidentiality.
- Performance Management
- Coordinate the Performance Management System (PMS).
- Track employee KRAs and KPIs.
- Schedule probation and annual performance reviews.
- Coordinate with department heads for timely completion of performance evaluations.
- Employee Engagement & Relations
- Organize employee engagement activities and celebrations.
- Address employee queries and grievances promptly.
- Foster a positive, productive, and conflict-free workplace.
- Support employee retention initiatives.
- Conduct employee satisfaction and feedback surveys.
- HR Policies & Process Management
- Coordinate with the HR Advisory company to implement, manage, and review HR policies, SOPs, and HR processes across the organization.
- Ensure adherence to all HR policies and standard operating procedures.
- Monitor the effectiveness of HR processes and recommend improvements wherever required.
- Support the implementation of new HR initiatives and process enhancements in consultation with the HR Advisory company.
- Ensure HR practices comply with applicable labour laws and organizational standards.
- Identify employee training requirements.
- Coordinate internal and external training programs.
- Maintain training records.
- Evaluate training effectiveness and employee participation.
- Statutory Compliance
Ensure compliance relating to
- Labour Laws
- Employees' State Insurance (ESIC)
- Payment of Bonus
- Gratuity
- Maternity Benefit Act
- POSH Compliance
- Employee records and statutory documentation
Coordinate with consultants and external agencies wherever required.
- HR MIS & Reporting
Prepare monthly HR reports covering
- Headcount
- Recruitment status
- Attrition
- Leave analysis
- Open positions
- Employee turnover
- Training records
- HR dashboard for management review
- Working knowledge with HRMS / Payroll system like Zoho is a plus
- Strategic HR Support
- Work closely with the CEO on manpower planning and organizational development initiatives.
- Support HR digitization and process improvement projects.
- Assist in organizational restructuring and change management initiatives as required.
- Provide HR insights and recommendations based on workforce data.

Employee Engagement
- At least one employee engagement activity every quarter.
- Employee grievances resolved within five working days.
HR Reporting
- Monthly HR dashboard submitted by the 5th of every month.
- 100% accuracy in HR reports.
Training
- Minimum 6 training or awareness sessions coordinated annually.
- Minimum 90% employee participation in planned training programs.
Requirements
Qualifications
- MBA / PGDM in Human Resource Management preferred.
- Graduate in Business Administration, Commerce, or any relevant discipline.
- HR certification will be an added advantage.
Experience
- 3–5 years of experience in an HR Generalist role.
- Experience in manufacturing, engineering, EPC, infrastructure, renewable energy, or similar industries preferred.
- Experience handling HR functions independently will be an added advantage.

- 3–5 years of HR Generalist experience.
- Strong knowledge of Indian labour laws and HR compliance.
- Excellent interpersonal and communication skills.
- Ability to coordinate with external HR consultants and internal stakeholders.
- Experience handling recruitment, employee relations, HR operations, and compliance.
- Good documentation and reporting skills.
- Strong organizational and multitasking abilities.
- Proficiency in MS Office and HRMS software.
- A proactive, solution-oriented, and confidential approach to HR.
